Plugin Installation

  1. Login to SiteAdmin and go to the Plugins tab
  2. Select the Get More Plugins > install the Dispatch plugin

Application Setup

Activate Dispatch

  1. Go to SiteAdmin > Applications (select an application) > Privileges and Features Plugins > Dispatch. Enable all the privileges under that category. 
  2.  
  3. Save your application settings at the bottom of the page

Setup the workspace

The Dispatch panels are not there by default when you open an application with Dispatch for the first time. You need to enable the Dispatch panel and locate it on the interface in the best suitable place for the user. To do so, follow these steps:

1. Go to the menu Window > Dispatch

2. Move the panel to a suitable location by drag-dropping the window

3. Go to the menu Workspace > Save As and set a name, for example Dispatch.

Once enabled Dispatch, this is how it should look like:

Using Dispatch: Jobs

What is a job? A job is a task or a set of individual tasks to be performed by the worker. For example:

  • A delivery
  • A repair/service to be performed somewhere
  • A route to follow for a delivery/repair/service

Creating Jobs

You can create a new Job in different ways:

  • Creating jobs from the Dispatch panel

To create a job from the Dispatch panel, click on the + Job button

  • Creating jobs from the Map

To create a job directly from the map, right-clicking on the location and selecting Create new Job (here)

Both options will bring up the Add Job window where you can add and edit the details for the Job. Depending on the option selected above some of the fields are pre-populated.

Job name Is the name of the task. You can input here anything you want.
Location Shows the location for the job. You can type an address in the field or pick the location directly from the map with the Pick Job Location context menu.
Scheduled Used to set a date for a Job. Jobs with a scheduled date only show up on that date. Jobs without a scheduled date show up every day. This information is sent out to workers when a job is dispatched. If the worker does not have the Dispatch app installed in his mobile phone/tablet, the link to connect will show up.
Assigned to Lets you pick a worker for unassigned jobs and for assigned jobs it shows the worker.
Status Planning: the job won't be sent to the worker yet. Dispatched to worker: the job will be sent to the worker right after saving the job.
Progress

These options will become available if the Status dispatched to worker is selected.

  • Not started: the default state of a dispatched job. 
  • Active: This status is achieved when the user click in Start in the Dispatch app.
  • Completed: when the worker completes the job in the Dispatch app.
Discussion This section allows workers and operators to add information to the Job as progress is made.
Custom fields         This option will be available if Custom Fields have been added to dispatch jobs.

 

  • Creating jobs by importing them

If you want to import jobs in batch mode, you can do this by selecting Import from the advanced menu

The Dispatch window

The Dispatch window shows an overview of all jobs for the selected date. Here you can see today's progress, look at your job history and plan future jobs.

Calendar The calendar allows moving back and forward historic and planned jobs.
Job The button allows creating jobs, routes or schedules.
Unassigned It's a queue that shows all unassigned jobs that either have no scheduled date, an older scheduled date or the date you are viewing. Jobs scheduled for a future date are only visible at that date.
Worker rows      Each worker has its own row with jobs assigned. Only the workers in the current view will be displayed.
Delayed jobs The  icon will show the number of jobs that have been assigned with date and time and are being late of completion.
Job Pin Turn on Pin to map if you want to keep your jobs and their location visible on the map at all times.
Job lists If you click in the  icon, you'll get a more detailed report of the worker's jobs.
Advanced options In this menu, you'll be able to access to advanced features like Batch operation, QR code, Import jobs, Autocomplete, etc.

 

Cool features

  • Drag & drop jobs

It is possible to drag and drop jobs between workers to share out the workload.

Example: move jobs from the Unassigned row to assign them to a worker.

  • Autocomplete

You can drag and drop jobs and routes to quickly assign them to workers. You can also set conditions to both auto-complete and auto-dispatch jobs. Autocompletion saves workers from marking routine jobs complete in the mobile app. Operators can save time by using the auto-dispatch feature, which automatically dispatches created jobs each day.

 

  • Connect mobile app setup for workers

Workers can complete jobs in real-time in the field with the mobile app. They can also upload photos, get a customer signature for job sign-off, and even add comments and discuss a job with the operator.

It’s easy to get the mobile app rolled out to the workforce. Operators can see if a worker is missing the Dispatch app. They can send the app invite by SMS to all workers so they will be up and running in no time.
